Defining categories

 

To define categories

A category is the kind of planning you want to register. For example:
 
  • Scaffolding
  • Parking lots
  • Lockers
  • Keys
  • Pilot
  • Berths

Creating categories for the rental objects is as follows:

  • Click on Management Centre in the main menu.
  • Go to the Objects item.
  • Select Define categories here.

  • The following screen will open:

  • Give a name to the category, e.g. berths port

Indicate which price calculation applies to the object:

Indicate the display in the visual planner:

Depending on the planning you are going to use, you can indicate how you want to get this in view. For the example boats in the port, we assume an annual plan. a berth is rented out per summer-winter season or per year.

Now we come to the price and period determination.
There are possibilities to indicate that.

• by season (year)
• summer season
• winter season

If we want to use one or more of these three options, we will specify the price in the relevant line and then the start date and the end date for which the price applies. If we choose to link a member to an object for the period, the start - end date will be filled in automatically including the price that has been entered (this depends on the choice in m¹, m² or m³
). Price will be calculated based on this.

  • Click Save to create Category Berths port.

Advanced settings

  • Click Advanced view after creating a new category to show multiple settings.

Price calculation

If you choose m¹ or m² or m³ you will receive additional fields to fill in. Since you have opted for a price calculation based on meters, square meters or cubic meters, you will also have to specify what is the length, the length x width or the length x width x height that must be calculated.

Standard invoicing methods and VAT

  • The frequence at which the association invoices the objects to members.

  • What VAT tariff is calculated for the objects.

Rounding

  • How the sizes of the objects are rounded.

Item rule format

  •  The item lines that are mentioned on the invoice, for the use of the association objects, can be adjusted to the preference of the association with the help of the different variables within e-Captain.
    • Click on the drop-down list to select the different variables.

Variables with description

  • Planobject.nr - Number of the association object (STA001, STA002, etc)
  • Planobject omschrijving - Description of the association object (Steiger A001, Steiger A002, etc)
  • Relatieobject.nr - Number of the relation object (Number of a boat)
  • Relatieobjectnaam - Name of the relationship object (Name of a boat)
  • Relatieobjecttype - Relation object type (boat, bike, car, etc)
  • Seizoen - Winter, Summer
  • Prijsberekening - Price per month, week, day or per M¹, M² or M³
  • Seizoen (Jaartal) - Year winter 2014, summer 2014
  • Seizoen (jaartal/jaartal+1) - Winter 2014/2015
  • Start.dat - Date on which the relationship object is linked to the association object, start of the planning
  • Stop.dat - Date on which the relation object is disconnected from the association object, end of the planning
  • RELOBJ Lengte - Length of the relation object (length of a boat)
  • RELOBJ Breedte - Width of the relationship object (width of a boat)
  • RELOBJ M¹ - Length or width of the relationship object
  • RELOBJ M² - Surface of the relation object (area of a boat)
  • PLANOBJ M¹ - Length or width of the association object (M¹ of a berth)
  • PLANOBJ M² - Area of the association object (area of a berth)
  • PLANOBJ Lengte - Length of the association object (length of a berth)
  • PLANOBJ Breedte - Width of an association object (width of a berth)
