Collectively change

Making collective changes is a powerful tool with which you can change specific data from selected contacts. You can e.g. in one move give all members of a family a different start date then other club members. You can also add an item to selected contacts or quickly create groups. A number of collective changes are possible in e-Captain. It is best to go over these first so that you know how you can use the collective change tool.

Link item rule Select an item rule from the item file. The rule will be linked to the selection.
Delete item rule Select an item rule from the item file. The rule will be deleted from the selection.
Divide in groups Select the group that you would like to add to your selection.
Remove from group Select the group that you would like to delete from your selection.
Enter start date membership Enter the strat date of the membership that you intend to allocate to your selection.
Enter finish date membership Enter the finish date of the membership that you intend to allocate to your selection.
Create invoice for member Y/N Select YES or NO to to add to your member selection.
Set membership type Select the membership type that you intend to link to your selection.
Set subscription fee manually Set the amount that you intend to add to your selection.
Club newsletter Y/N Select Kies voor JA of NEE om te plaatsen bij uw selectie van leden
Entrepreneur Y/N Select YES or NO to to add to your member selection.
Place comment Not currently active.
Notify Association Y/N Select YES or NO to to add to your member selection.
Enter Association start date Enter the start date for the association that you intend to allocate to your selection.
Enter Association finish date Enter the finish date for the association that you intend to allocate to your selection.

There are currently a restricted number of amendments possible using collective changes. Since the start and finish dates are different field types that need to be treated and reported differently, these will be processed separately.

  • Link and remove item rule
  • Sort in group / Delete from group
  • Enter membership start and finish date
  • Create member to be invoiced Y/N
  • Set membership type
  • Set subscription fee manually
  • Club newsletter Y/N
  • Entrepreneur Y/N
  • Comment (not yet active)

  • Enter start and finish date for association

To make collective changes, you create a selection of members you intend to change. You can do this using a pre-defined filter or using the search bar.

  • In the main menu, select Membership Management.

A You can refine/filter the search using these selection fields.
B Using the drop-down box, you can indicate the number of members that is visible in the members screen.
C You can select a pre-defined filter using the drop-down box, if these have been created in your organisation.

Using the filter or the selected name, location etc. you will get a result or none appear in answer to your query. Suppose you have created a query with a number of results which you intend to amend collectively. In that case, select the Change Collectively button.

  • Under Editing, you will see a drop-down box containing all amendment options that were mentioned earlier.
  • Selecting the arrow will open the list.

  • You can select the correct process option here.
  • Click on Execute and the changes will be made to the selected members.
