Spam problems

Via e-captain kunt u mailings versturen naar uw leden / relaties. Om te voorkomen dat e-mail als Spam wordt aangemerkt heeft e-Captain een aantal mogelijkheden. Wij voegen namelijk voor u een zogenaamd SPF en DKIM record toe in de DNS. We zullen in het kort uitleggen wat dit voor u doet.

Sender Policy Framework (SPF)

SPF is the abbreviation of Sender Policy Framework. It identifies which mail servers are permitted to send email on behalf of your domain. If your domain name is with us then we’ve put our e-Captain servers in your SPF record. This allows you to send emails from e-Captain.

Caution! If you DO NOT have your domain name registered with us, but you do send email using your domain via e-Captain, then you should your provider to change your SPF record.

Example of a TXT SPF record in the DNS of your domain name:

v=spf1 a mx include:spf.e-captain.nl ~all

It is important that your current SPF record has this added: include:spf.e-captain.nl. Ask your domain name provider to add include:spf.e-captain.nl in the SPF record. If e-Captain is not added in the SPF record for your domain, then emails sent via this module will be more likely to be treated as spam.

DomainKeys Identified Mail (DKIM)

DKIM is a way to verify that an e-mail sent on behalf of your domain may be sent from your domain. For every email sent on behalf f your domain from e-Captain, a digital signature is added. This prevents anything from being added or removed en route. The receiving email server can use the signature to check if the message is correct.

Caution! DKIM can only be supported if your domain name is registered with us.

If you transfer your domain name registration to us we will set this up for you. By implementing both SPF and DKIM the odds of your emails being mistaken for spam are much lower.

Sending mails? Note sender

When sending newsletters it is worth noting who the sender is. Do not use your personal email address but only addresses ending in your organisations domain name. If you use, for example, a Gmail address then your message is much more likely to be mistaken for spam because the e-Captain servers do not allow this.

Summary

  • If your domain name is registered with us, you do not have to do anything. We will set everything up for you.
  • If your domain name is not registered with us, but you send emails using e-Captain, then we recommend you ask your provider to add include:spf.e-captain.nl to the DNS of your domain name.
  • Do not use your personal email address to send emails on behalf of your organisation.
